Job Details

KEY RESPONSIBILITIES: 

  • Provide administrative support to the Cold Store Manager and assist with daily operational activities
  • Manage daily attendance registers for employees across all shifts
  • Maintain employee records and MHE (Material Handling Equipment) driver licence records, both physical and digital
  • Coordinate weekly timesheets and submit documentation to HR
  • Manage service providers, including scheduling work, ensuring OHS compliance, issuing purchase orders, and allocating work areas
  • Obtain quotations from service providers when required
  • Create and process purchase orders using SAP
  • Maintain filing systems and documentation for service providers
  • Manage CHEP pallet control and reconciliations
  • Order office stationery and operational supplies
  • Assist with updating office policies and standard operating procedures (SOPs)
  • Procure stock from internal and external suppliers
  • Act as the administrative liaison between the Cold Store, Logistics, HR, Payroll, Trading, and other departments
  • Control documentation relating to internal processes, stock, material handling equipment, and local deliveries
  • Verify the completion and accuracy of delivery documentation and scan daily delivery notes against load sheets
  • Maintain maintenance records for equipment
  • Prepare regular operational and administrative reports
  • Provide relief support to Administrative Operations Clerks when required
REQUIREMENTS:
  • Matric (Grade 12)
  • Minimum of 3 years' administrative experience, with experience in a warehouse, cold store, or similar operational environment
  • Strong computer literacy with advanced Microsoft Excel skills
  • Report writing experience
  • ERP system experience; SAP Business One experience will be advantageous
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with the ability to communicate across all levels of the business
  • Excellent organisational, multitasking, and time management abilities
  • Strong attention to detail and accuracy
  • Ability to work under pressure, meet deadlines, and prioritise effectively
  • Strong problem-solving and critical thinking skills
  • Self-motivated with the ability to work independently
  • Honest, reliable, and results-driven
  • Flexible to work overtime and weekends when operationally required
  • Own transport will be advantageous
  • A positive attitude, willingness to learn, and ability to work well within a team
