Key Responsibilities

 
Front Desk & Visitor Management
  • Greet and welcome visitors, clients, and staff in a professional and courteous manner.
  • Manage the reception area, ensuring it is tidy, presentable, and well-stocked at all times.
  • Register visitors and issue visitor access as per company security procedures.
  • Notify the relevant staff member upon the arrival of their guest or appointment.
 
Telephone & Communication
  • Answer, screen, and direct incoming calls promptly and professionally.
  • Take accurate messages and ensure timely delivery to the relevant recipients.
  • Manage general email correspondence directed to the reception or general inbox.
  • Respond to queries in a helpful and professional manner or redirect to the appropriate department.
 
Administrative Support
  • Manage incoming and outgoing mail, couriers, and deliveries.
  • Maintain and update the office filing system (both physical and electronic).
  • Schedule and coordinate meetings, boardroom bookings, and appointments.
  • Assist with the preparation of documents, reports, and presentations as required.
  • Order and manage office supplies, stationery, and refreshments.
  • Provide general administrative assistance to various departments as needed.

Minimum Requirements

 
Education
  • Grade 12 / Matric certificate (essential).
  • A relevant certificate or diploma in Office Administration, Business Administration, or a related field (advantageous).
 
Experience
  • Minimum 1–2 years of experience in a receptionist, front-desk, or administrative role.
  • Experience in a corporate or professional services environment is preferred.
  • Afrikaans first language essential
 
Skills & Competencies
  • Excellent verbal and written communication skills.
  • Professional, presentable, and well-spoken demeanour.
  • Strong organisational and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work under pressure and manage a busy reception environment.
  • High level of reliability, punctuality, and attention to detail.
  • Friendly, approachable, and customer-service-oriented attitude.
  • Ability to handle confidential information with discretion.
