JOB CONTEXT:
We are seeking a highly organized, proactive, and professional Personal Assistant to support a busy Financial Advisor. This role is ideal for someone who thrives in a fast-paced environment, enjoys working with clients, and has exceptional administrative and organizational skills.
As a Personal Assistant, you will play a key role in ensuring the smooth day-to-day operation of the advisor's practice by managing schedules, coordinating client communications, maintaining accurate records, and providing administrative support. You will act as a trusted point of contact for clients while helping the advisor deliver an exceptional client experience.
Key Responsibilities:
Administrative Support:
- Manage and maintain the Financial Advisor's diary, appointments, and meetings.
- Coordinate client reviews, consultations, and follow-up appointments.
- Prepare meeting packs, reports, and documentation.
- Draft and manage correspondence, emails, and client communications.
- Maintain accurate filing systems and client records.
- Assist with data capturing and updating client information.
Client Relationship ManagementL- Serve as the first point of contact for clients.
- Build and maintain professional client relationships.
- Follow up on outstanding documentation and client requests.
- Ensure clients receive timely updates and support.
- Handle client queries professionally and efficiently.
Financial Administration:- Assist with the preparation and submission of financial applications and documentation.
- Track progress of applications and liaise with providers when required.
- Ensure all documentation is complete, accurate, and compliant.
- Maintain confidentiality of client financial information.
- Assist with compliance and regulatory record-keeping requirements.
Office & Operational Support:- Coordinate meetings, travel arrangements, and events when required.
- Monitor and order office supplies.
- Assist with special projects and business initiatives.
- Support the advisor with ad-hoc administrative duties.
QUALIFICATION & EXPERIENCE REQUIREMENTS:- Matric (Grade 12) required.
- Relevant qualification in Administration, Business Management, Finance, or a related field advantageous.
- Previous experience as a Personal Assistant, Executive Assistant, Administrator, or Financial Services Administrator preferred.
- Experience with Life Insurance, Investments, Medical Aid, and Short-Term Insurance will be advantageous.
- Previous experience within the Financial Services industry will be beneficial.
- Strong understanding of financial products and client service will be an advantage.
Skills Requirements:- Experience within the financial services industry will be advantageous.
- Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Strong administrative and organizational abilities.
Package & Remuneration:Will be agreed based on qualifications, applicable experience and previous earnings.
