About the Role – Contracts Officer Jobs in Kalumbila The Contracts Officer will play a vital role in supporting the preparation, administration, and analytical evaluation of service contracts. This hands-on position contributes to commercial decision-making through market and supplier financial analysis, risk assessments, and financial modelling.

You will assist with contract negotiations, monitor contract performance, manage supplier relationships, and oversee contract variations, renewals, and close-out processes. Ensuring all contract documentation aligns with operational, financial, and strategic objectives while maintaining compliance with procurement policies and legal frameworks is a key responsibility.

Key Responsibilities Assist in drafting service contracts and amendments under the guidance of the Contracts Specialist. Review purchase requisitions and service contract orders.

Coordinate and verify supporting documentation for contract payments, including timesheets and compliance certificates. Prepare and compile monthly payment packs for services contracts.

Maintain accurate contract registers and manage electronic and physical archives. Ensure contract documentation complies with approval and governance procedures.

Follow up with suppliers and internal teams on contract milestones and performance. Assist in preparing contract performance tracking reports and escalate issues as needed.

Support contract variations, extensions, renewals, and close-out activities per approved procedures. Conduct commercial evaluations, market and risk analyses to support procurement decisions.

Assist in negotiation preparation and award recommendations. Maintain contract records to meet audit and compliance standards.

Collaborate with internal stakeholders to align contracts with business needs. Support ad hoc procurement requests and coordinate document flow with Junior Contract Officer.

Perform additional duties as directed by senior contract management personnel. Required Skills and Competencies Solid understanding of service procurement processes and contract administration.

Knowledge of statutory and compliance requirements related to service contracts. Proficiency in Microsoft Office, ERP systems, and contract management software.

Strong organizational skills with excellent document control and record-keeping abilities. Effective communication and stakeholder engagement capabilities.

Ability to conduct market research, supplier financial assessments, and risk evaluations. Experience preparing analytical reports and business cases to inform decision-making.

Understanding of contract lifecycle management including variations, renewals, and close-outs. Knowledge of supplier performance management, KPIs, and contract compliance monitoring.

Familiarity with procurement governance, audit requirements, and ethical standards aligned with CIPS principles. Strong analytical and problem-solving skills with commercial acumen.

Ability to manage multiple contracts and deadlines with professionalism and confidentiality. Experience and Qualifications Minimum of 3 years’ experience in procurement operations or contract administration, preferably supporting service contracts.

Experience in mining or industrial environments is advantageous. Bachelor’s degree in Law, Finance, Business Administration, or a related discipline.

Membership of the Zambian Institute of Purchasing and Supply is desirable. Personal Attributes Attention to detail and accuracy in all tasks.

Ability to prioritize effectively and meet tight deadlines. High integrity and professional conduct.

Proactive, collaborative, and eager to learn and develop expertise in contract management. Advanced Microsoft Excel skills, including financial modelling and data analysis.

Strong commercial awareness and ability to identify risks and opportunities. Excellent stakeholder management and relationship-building skills.
