Job Purpose
The Logistics Officer is responsible for coordinating and supporting the efficient procurement, transportation, warehousing, asset management, and distribution of goods and services required for ImpactWave International's humanitarian and development programs in South Sudan. The role ensures that logistics operations are conducted in compliance with organizational policies, donor regulations, and humanitarian standards while supporting timely and cost-effective program implementation.
Key Responsibilities
Logistics Coordination

  • Plan, coordinate, and monitor the movement of supplies, equipment, and personnel to project locations.
  • Ensure timely delivery of humanitarian relief items and operational supplies.
  • Coordinate transportation schedules, fleet movements, and logistics support for field activities.
  • Monitor logistics performance and recommend improvements to increase efficiency.

Procurement Support

  • Support procurement activities in accordance with organizational and donor guidelines.
  • Prepare purchase requests, obtain quotations, and maintain procurement documentation.
  • Follow up with suppliers to ensure timely delivery of goods and services.
  • Verify received goods against purchase orders and delivery notes.

Warehouse and Inventory Management

  • Maintain accurate inventory records for all organizational assets and supplies.
  • Monitor stock levels and initiate replenishment requests when necessary.
  • Conduct regular stock counts and inventory reconciliations.
  • Ensure proper storage conditions and adherence to warehouse management procedures.

Fleet Management

  • Coordinate vehicle allocation, maintenance schedules, and repairs.
  • Monitor vehicle usage, fuel consumption, and mileage records.
  • Ensure all vehicles have valid registration, insurance, and required documentation.
  • Promote compliance with safety and security procedures during transportation operations.

Asset Management

  • Maintain an up-to-date asset register and tracking system.
  • Conduct periodic asset verification exercises.
  • Ensure assets are tagged, recorded, and properly maintained.
  • Coordinate asset disposal processes in line with organizational policies.

Documentation and Reporting

  • Maintain accurate logistics records and filing systems.
  • Prepare periodic logistics, inventory, and fleet management reports.
  • Ensure all logistics documentation is complete and readily available for audits and donor reviews.
  • Track logistics performance indicators and report on operational challenges.

Compliance and Risk Management

  • Ensure logistics activities comply with organizational policies, donor requirements, and humanitarian standards.
  • Identify logistics risks and propose mitigation measures.
  • Support internal and external audits by providing relevant documentation.
  • Promote transparency, accountability, and value for money in all logistics operations.

Coordination and Communication

  • Liaise with suppliers, transport providers, government agencies, and other stakeholders as required.
  • Work closely with program teams to understand operational needs and provide logistics support.
  • Support emergency response operations and rapid deployment of supplies during humanitarian crises.

Qualifications and Experience

  • Bachelor's degree in Logistics, Supply Chain Management, Procurement, Business Administration, Operations Management, or a related field.
  • Professional certification in Logistics, Procurement, or Supply Chain Management is an added advantage.
  • Minimum of 5 years of relevant logistics experience, preferably within a humanitarian, NGO, or development organization.
  • Experience managing procurement, warehousing, fleet, and asset management systems.
  • Familiarity with donor regulations and humanitarian logistics standards is desirable.
  • Experience working in challenging and remote environments is an advantage.
