The Junior Community
Coordinator at Workshop17 is at the heart of our team's business operations and
point of contact for our members. The Coordinator will ensure that our members'
eventing and community needs are well catered for in fun workspaces in which
professionals and entrepreneurs can thrive, and where they feel at home and
part of a diverse community. The Coordinator ensures that each client has a
warm, welcoming, authentic and efficient experience when visiting Workshop17.
They effortlessly anticipate the needs of the Workshop17 team members and help
them stay focused on their projects by resolving administrative issues before
or as they arise.
General scope of work:
Hosting and member experience
- Welcome and greet members, guests, and visitors and
manage the front desk.
- Provide a warm, professional, and 5-star Workshop17
experience.
- Manage guest arrivals, packages, mail, parking, and
basic member requests.
- Act as the first point of contact for members and
follow up on requests or escalate issues when required.
- Build strong relationships with members and encourage
community engagement.
- Manage the members’ WhatsApp group and support member
benefits and rewards.
- Support
onboarding and offboarding of members and clients.
- Being present
onsite during opening hours 8am and 5pm is a must - Monday to Friday
- Occasionally assisting the team by attending community
events after business hours or during weekend
Interaction & Engagement with
Members, Members' Benefits & Rewards
- Actively
engage with community members by responding to comments, questions, and
feedback.
- Initiate and participate in discussions to foster a
sense of community & allowing cross collaboration
- Gather feedback from the community to identify their
needs and preferences through regular check-ins & feedback forms.
- Use feedback to
improve community engagement strategies and initiatives by working closely with
the LM & C & E Coordinator.
- Support the LM & C & E Co-ordinator in
securing member benefits by contracting external providers in collaboration
with W17
- Manage, update and maintain the W17 members' benefits
platform to reflect accurate up to date information
- Recognize and
reward active and valuable community members through constant awareness and new
important updates.
- Assisting the barista
at Reception occasionally, greeting clients on arrival & managing
preparation of coffees with the coffee provided if required
Administration and Operations
- Manage meeting room and boardroom bookings and provide
basic quotes.
- Maintain accurate member, booking, and space data
across Workshop17 systems.
- Capture leads in the CRM and schedule site visits for
the LM.
- Assist with proposals, contracts, renewals, invoicing,
payments, and filing as required.
- Conduct daily
checks of the workspace and report maintenance or operational issues to the
Location Manager.
- Set up meeting rooms and support members with basic
equipment requirements.
- Manage sites stock inventory, logistics and event
supplies.
- Support parking administration and liaise with
relevant service providers.
- Financial administration - raise deposit invoices,
membership invoices, follow up payments, assist in deposit refunds as per
request of LM
- Take
credit card payment, process EOD card machine settlement; record all credit
card payment on excel sheet and send to accounts weekly.
Qualification, Skills and Experiences requirements
- Diploma or Degree in Business Administration, Tourism
and Hospitality Management, Events management or any related field.
- 1 – 2 years experience within the
coworking/hospitality/customer service/eventing industry.
- Ability to handle multiple requests, work effectively
in a fast-paced environment, and be responsive to member requests/service
issues
- An upbeat, energetic, positive, mature and
professional attitude
- The ability to multi-task in a fast-paced environment
- Attention to detail
- Ability to work well under pressure and with a diverse
range of personalities
- Excellent communication skills in French and English
both written and spoken
- Ability to navigate various online systems
- Lives in the centre region on Moka/Rose-hill/
Beau-Bassin
- Owns a valid driving license and a car
