The Fleet Manager is responsible for the overall management, maintenance, utilization, safety, and profitability of the company's fleet of vehicles. The role ensures that all vehicles are roadworthy, compliant with regulatory requirements, and available to support the company's tourism, corporate transport, and rental operations while maximizing fleet efficiency and minimizing operating costs.
The Fleet Manager will oversee drivers, maintenance schedules, licensing, insurance, fuel management, GPS tracking, and fleet performance to ensure exceptional service delivery and operational excellence.
Key Responsibilities
1. Fleet Operations Management
Oversee the day-to-day operations of the entire vehicle fleet.
Ensure vehicles are allocated efficiently to tours, transfers, rentals, and corporate assignments.
Monitor fleet utilization and maximize vehicle productivity.
Ensure adequate vehicle availability during peak operational periods.
2. Vehicle Maintenance & Repairs
Develop and implement preventive maintenance schedules.
Ensure timely servicing, repairs, and inspections of all vehicles.
Monitor workshop performance and external service providers.
Maintain accurate maintenance records for every vehicle.
Minimize vehicle downtime through proactive maintenance planning.
3. Fleet Asset Management
Maintain a comprehensive fleet register.
Monitor vehicle age, mileage, and replacement schedules.
Recommend fleet expansion or disposal based on operational needs.
Coordinate vehicle procurement and disposal processes.
4. Driver Management
Supervise and evaluate drivers.
Ensure drivers comply with company policies and road safety regulations.
Organize driver orientation and periodic training programs.
Monitor driver performance, punctuality, customer service, and discipline.
Investigate accidents and driver-related incidents.
5. Fuel & Cost Management
Monitor fuel consumption and investigate variances.
Implement fuel-saving initiatives.
Manage fuel cards and fuel reconciliation processes.
Control fleet operating expenses and recommend cost-saving measures.
Monitor tyre usage and replacement schedules.
6. Compliance & Safety
Ensure all vehicles have valid:
Roadworthy certificates
Insurance
Vehicle licenses
Permits
Fire extinguishers
First aid kits
Ensure compliance with DVLA and transport regulations.
Promote a culture of road safety and accident prevention.
7. GPS & Fleet Monitoring
Monitor vehicle movements using GPS tracking systems.
Ensure drivers adhere to approved routes and speed limits.
Investigate unauthorized vehicle usage.
Generate fleet movement and utilization reports.
8. Budget & Financial Management
Prepare annual fleet budgets.
Monitor maintenance and operational expenses.
Review supplier invoices for accuracy.
Negotiate favorable contracts with garages, tyre suppliers, insurance companies, and fuel providers.
9. Reporting
Prepare weekly and monthly reports covering:
Fleet utilization
Fuel consumption
Maintenance costs
Vehicle downtime
Accident reports
Driver performance
Repair schedules
Fleet availability
Cost savings initiatives
Key Performance Indicators (KPIs)
Fleet availability above 95%
Vehicle downtime below 5%
Maintenance completed on schedule
Fuel consumption within approved benchmarks
Reduction in maintenance costs
Zero expired insurance or roadworthiness certificates
Reduction in accidents and traffic violations
Customer satisfaction with transportation services

Qualifications
Bachelor's Degree in Transport Management, Logistics, Mechanical Engineering, Business Administration, or a related field.
Professional certification in Fleet Management is an advantage.
Experience
Minimum 8 years' experience managing a fleet of vehicles.
Experience in the tourism, transport, car rental, or logistics industry is preferred.
Experience managing drivers and vehicle maintenance operations.
