Role Overview – Executive Assistant Jobs in Lusaka The Executive Assistant to the Group CEO will manage the CEO’s office by coordinating time, priorities, commitments, and engagements across GreenCo’s operations in Lusaka, Johannesburg, Harare, and Kinshasa.

This role demands exceptional judgement, discretion, organisational skills, and ownership. The successful candidate will proactively manage competing priorities, liaise across multiple jurisdictions, ensure comprehensive preparation for the CEO’s engagements, and facilitate follow-through on decisions and commitments.

Key Responsibilities Executive Support and Diary Management:

  • Oversee the CEO’s diary, coordinate meetings across time zones, and manage complex domestic and international travel arrangements including visas and itineraries.

Governance and Meeting Coordination:

  • Facilitate board, executive committee, and shareholder governance cycles; prepare agendas and minutes; maintain action registers and governance calendars.

Executive Briefing and Coordination:

  • Prepare briefing materials, daily and weekly schedules, track CEO commitments and deadlines, and identify risks or issues requiring escalation.

Stakeholder Engagement:

  • Serve as first point of contact for the CEO’s office, manage invitations and requests, coordinate external engagements, and maintain professional relationships with key stakeholders.

Recruitment and Information Management:

  • Coordinate senior appointment interviews, support onboarding, maintain confidential records, and ensure secure document management.

Decision-Making and Accountability:

  • Exercise independent judgement in prioritising CEO time, managing requests, following up with stakeholders, and ensuring preparation for key engagements.
  • Qualifications and Experience Bachelor’s degree in Business Administration, Communications, Law, Economics, or related field; Master’s degree is advantageous.
  • At least 5 years’ experience supporting a CEO or senior executive with proven skills in diary and travel management, board support, and multi-stakeholder coordination.
  • Excellent communication skills, strong organisational and project management capabilities, with exceptional attention to detail.
  • Proven ability to handle highly confidential information and coordinate multi-country travel logistics.
  • Strong judgement and confidence in engaging senior stakeholders.
  • Advantageous qualifications include experience in multi-country organisations, exposure to energy or regulated sectors, familiarity with governance processes, and French language proficiency.
  • Key Competencies and Technology Skills Sound judgement, discretion, and confidentiality in handling sensitive information.
  • Proactive organisation, stakeholder management, and accountability.
  • Adaptability in a fast-paced, evolving environment.
  • Advanced proficiency in Microsoft 365 suite (Outlook, Teams, Word, Excel, PowerPoint, SharePoint) and task management tools like Microsoft Planner.
  • Familiarity with travel and expense management platforms and CRM systems is a plus.
  • Working Conditions and Reporting This is a full-time role with a standard 40-hour workweek.
  • Flexibility is required to accommodate the Group CEO’s schedule across multiple time zones and occasional domestic and international travel.
  • The Executive Assistant reports directly to the Group CEO and collaborates closely with senior leadership, legal, communications, and other functional teams across GreenCo’s operating entities.
