Position Summary
Under the direct supervision of the HR Manager, the Administrative Assistant and HR Officer will provide support in human resources and administrative functions while managing front desk operations. The position is responsible for ensuring efficient office administration, supporting HR activities, coordinating employee records, assisting with recruitment and payroll processes, and serving as the first point of contact for visitors and clients.
Key Responsibilities
Human Resources Support
Organizing company documents and files so they are accessible and traceable when needed.
Support recruitment activities, including vacancy announcements, candidate communication, interview scheduling, and reference checks.
Maintain accurate records and files, ensuring confidentiality and accessibility.
Assist with employee onboarding, orientation, and exit processes.
Collect and verify payroll-related information, including attendance, overtime, and leave records.
Monitor employee leave requests and maintain leave records.
Prepare HR reports and maintain HR documentation.
Assist in coordinating staff performance evaluations.
Respond to employee inquiries regarding HR policies and procedures.
Follow up on employee insurance matters, claims, and related documentation.
Take minutes during HR meetings and maintain proper records.
Administration and Office Management
Provide administrative support to management and various departments.
Coordinate office maintenance, cleanliness, and security arrangements.
Maintain office records and filing systems.
Manage office supplies and stationery inventory.
Monitor office operational expenses and prepare administrative reports.
Perform other duties assigned by management.
